DoctorSupport360

FAQ

A: DoctorSupport360 is a remote staffing service that provides virtual assistants (real human professionals
working remotely) to healthcare practices. We help by taking over your time-consuming administrative
tasks – think appointment scheduling, insurance verification, billing support, patient follow-ups, and more.
By letting our trained assistants handle the paperwork and routine calls, your in-office team can focus on
patients. In short, we streamline your operations and reduce the load on your staff, all while saving you
money

A: Our virtual assistants are multi-skilled and can tackle a wide range of non-clinical tasks. For example, they
can answer phones and emails, schedule appointments and send reminders, verify insurance coverage,
manage patient records and data entry, assist with billing and coding, follow up on claims or outstanding
balances, conduct patient outreach (like post-visit follow-up calls or satisfaction surveys), handle referral
coordination, and even help with your social media or marketing efforts. We’ll work with you to define the
role — if a task can be done remotely via computer or phone, your virtual assistant can probably do it.

A: Yes – all our virtual team members undergo rigorous screening and training before they ever work with a
client. Many have backgrounds in healthcare administration or nursing. Every assistant is HIPAA certified,
meaning they’ve been trained on patient privacy rules and passed certification tests. We also train our staff
on common medical office software (EHR systems, scheduling tools, etc.) and on your specific processes
during onboarding. Our goal is to ensure your VA is fully prepared and confident in handling your tasks
from day one.

A: We take patient privacy extremely seriously. All DoctorSupport360 assistants follow strict HIPAA
compliance guidelines at all times. We use secure technology for all work – for example, encrypted
connections, VPNs for remote access, and verified access controls for your systems. Each team member
signs confidentiality agreements and passes background checks. We also provide ongoing training in
cybersecurity best practices. Your patient data is as safe with us as it is in your own office.

A: It really is just $10 per hour for the services you use, with no hidden costs. That hourly rate covers your
assistant’s time and all the support we provide (recruitment, training, management, etc.). There are no
additional agency fees or surprise charges on top. For example, if your virtual assistant worked 10 hours
this week, the cost to you would simply be $100. We pride ourselves on transparency – you only pay for the
hours of help you receive, period.

A: We keep it flexible. There is no long-term contract required to use DoctorSupport360. We start with an
initial setup and onboarding period to get your service running smoothly, but after that it’s a simple month-
to-month arrangement. You can adjust the hours as your needs change, or even pause/cancel service with a
30-day notice. We’re confident in the quality of our support, so we don’t feel the need to lock clients into
long commitments – you stay because you love the service, not because you’re stuck.

A: Absolutely. During our onboarding process, we learn about your practice – whether you’re a family
physician, dentist, therapist, or another specialist – and determine what skills or background would best
suit your virtual assistant. We then match you with a candidate from our team who has the right
experience. You’ll have the chance to meet or interview them to ensure it’s a good fit before work begins.
Our goal is to provide someone who feels like a natural addition to your team

A: Yes. Your dedicated assistant’s schedule is aligned with your operating hours (and time zone). If you need
them available during your 9–5 clinic hours, that’s when they’ll be online and supporting you. We can
accommodate early morning or evening coverage, and even weekend support, depending on your needs.
One of the perks of DoctorSupport360 is flexibility – just let us know when you need coverage, and we’ll
make it work.

A: We’ve got you covered. If your assistant is out sick or on leave, we can provide a qualified backup to fill in
so your practice isn’t left shorthanded. And if for any reason you feel your current assistant isn’t the right fit,
just let us know – we can swiftly arrange a replacement that better suits your preferences. Our service
includes that peace of mind: you’ll always have reliable support, and we handle any staffing adjustments
needed

A: Getting started is simple. Reach out to us via our website or phone to set up a free initial consultation. In
that 15–20 minute discovery call, we’ll discuss your needs, answer any questions, and lay out a plan. After
the call, we’ll match you with an ideal virtual assistant and send you a proposal. Once you approve and sign
on, we can typically have your new assistant onboarded and trained within a week or two. In many cases,
our clients start getting support just days after the first call. We handle the setup and orientation alongside
you, so the process is quick and hassle-free. Before you know it, your virtual assistant will be handling tasks
and making your life easier!
